POSITION DESCRIPTION

TITLE: Ministry Coordinator

REPORTS TO: Lead Pastor & Elders

General Description of Duties

The mission of Northwest relies upon healthy members that are thriving disciples of Jesus and making other thriving disciples of Jesus.  As the church grows and the ministry becomes more complex, it is crucial that key leaders have real-time information that is accessible & accurate to assist them in caring for the flock. The “Ministry Coordinator” is (ideally) a deacon-level role at Northwest that oversees the processes, systems, and overall care of its members and attenders. 

Responsibilities

  • Perform all duties assigned by the Lead Pastor

  • This role exists to take direction and accomplish it, and is best suited for someone who thoughtfully completes assignments with excellence and efficiency.

  • Ministry Management & Coordination 

  • Coordinate workflow: streamline the communication and delegation of tasks, responsibilities, and ministry among the Northwest staff, helping the entire team manage people and projects effectively. 

  • Communicate consistently with Jeff, updating and debriefing current projects and tasks. The goal here is to keep projects moving forward and keep them from taking up Jeff’s brain space. 

  • Master Calendar & Communication

  • Schedule all Northwest ministry events (i.e. Christmas, Easter, Fall Festival, etc.), help to develop and execute a strategic plan for communicating those, and set the table for elders, staff, and key ministry leaders to effectively step into them.  Currently this involves a multi-layered approach and includes things like CCB, the Northwest Bible Church website and app, the ‘This Week’ email, and any other communication tools that the Ministry Coordinator deems effective.  

  • Technical and Administrative Support

  • Serves as both the point person and gatekeeper for all of the church’s digital, communication, and security platforms.  Currently this includes things like Google Drive, Grasshopper, Ring, Central Alarm, etc.  

  • Develops a comprehensive plan for updating/recycling office technology (i.e. computers, monitors, compatible software, printers, copy machines, etc.).

  • Tracks and orders office supplies for all staff and key ministry leaders as needed.

  • Financial Oversight and Supervision

  • Is the first and primary interface between Northwest staff and external accountant(s). 

  • Gives internal structure/support/vision regarding regular and repeating financial rhythms.

  • Helps to both organize and facilitate the church’s budgeting process (in concert with the church’s treasurer).

  • Maintains accurate giving records, generates year-end giving statements, processes cash/check/online transactions, keeps accurate and readily accessible files.

  • Helps to both onboard and support any new staff hires as needed.

Supervises/Oversees

  • Administrative Specialist 

  • Volunteers for special events 

  • Janitorial/Landscaping/Security Services

  • Church Facilities Team

Define the Win: What does success look like?

  • Lead Pastor and Elders are leading proactively rather than reactively, and are spending their best time and energy on preaching, teaching, vision, and coaching/discipleship.

  • Staff are executing key projects on time, with good collaboration and information flow.

  • Key leaders have all the information they need to lead effectively, efficiently, and prayerfully.

  • Communication is streamlined and effective at every level (elders, staff, and church-wide).

  • Northwest has a thriving gospel culture - people are repenting of sin, breaking free from idols, worshiping Jesus more deeply, and glorifying God with their lives.

How will I be evaluated? 

  • By the effectiveness of processes (by the elders)

  • By the achieving of job-specific metrics (by my supervisor)

  • By my teamwork and submission to leadership (by my supervisor)

  • By my development of other leaders (by my supervisor)

  • By my compatibility with staff norms (by my supervisor) 

Expectations and Compensation:

  • 25-30 hours per week

  • Salary as per Compensation Guidelines

  • 2 Weeks Vacation Per Year

  • Flexibility for outside ministry as approved by Elders
